How to Effectively Use AI Assistants While Writing

There is a moment most researchers now recognise. You have the sources, you have the argument roughly in your head, and the cursor is blinking at the top of an empty document. Somewhere in the corner of the screen there is an AI assistant offering to help, and you are not quite sure whether letting it help is good practice or a shortcut you will regret at review.

It is a fair question, and the honest answer is that it depends almost entirely on how you use the thing. An AI assistant pointed at your own library, asked a precise question, and checked against the paper it cites is a genuinely useful research tool. The same assistant asked to "write my introduction" is a liability.

This article is about the difference. We will walk through how the Copilot inside Flowcite is meant to be used, what each of its modes is actually for, and the habits that keep AI assistance on the right side of academic integrity.

Start With What the Assistant Can See

The single biggest factor in whether an AI assistant is useful to a researcher is not the model behind it. It is what the model has been given to read.

A general chatbot answers from whatever it absorbed during training. It has no idea which papers you have collected, which ones you found convincing, or which ones your supervisor told you to take seriously. When it produces a confident paragraph with a plausible citation attached, that citation may not exist at all.

Copilot works the other way round. It sits beside a Sources panel listing the references in your library, each with a checkbox. Before you ask anything, you decide what it is allowed to read. Select nine references and it answers from those nine. Select one and it answers from one. There is also a toggle between "My library" and "General", and the distinction matters more than it first appears.

Use "My library" when you are writing. The answer is then constrained to material you have already vetted, and every claim can be traced back to a source sitting in your own collection. Use "General" when you are orienting yourself in an unfamiliar area and you want a broad sketch before you go looking for real papers. Just do not mistake the second for the first.

A useful habit: before a long writing session, spend two minutes curating the Sources panel down to the papers that actually bear on the section you are about to write. Everything the assistant says afterwards gets sharper.

Pick the Mode That Matches the Question

Copilot is not one button. It offers distinct modes, and choosing the wrong one is the most common reason people conclude that AI assistants are not much help.

Continue writing extends a passage you have already started. It works best when you have written enough for the assistant to infer your register, your structure and your argument. Give it two sentences and you will get generic prose. Give it two paragraphs and a clear direction and it will stay on your line of reasoning.

Ask Question is for interrogating your sources rather than producing text. "Which of these studies used a control group larger than fifty?" is a better use of an afternoon than reading twelve methods sections in sequence.

Grounded Answer produces a response tied explicitly to the sources you selected. This is the mode to reach for when you are writing a literature review and you want a synthesis you can actually defend.

Claim Verification runs in the other direction. You paste a claim, and the assistant checks it against your sources rather than generating anything new. If you have ever written a sentence from memory, half remembered which paper it came from, and then spent forty minutes hunting for it, this mode will pay for itself in a week.

Explain topic, Summarize, Rewrite and Outline fill in the rest. Outline in particular is underused. Asking for a structure before you write, then discarding two thirds of it, is a faster route to a good structure than staring at a blank page.

Ground Every Claim in Something You Can Point To

Here is the rule that keeps everything else honest: if you cannot point to the source, the sentence does not go in the paper.

This is not a rule about AI. It has always been the rule. What changes with an assistant in the loop is how easy it becomes to break by accident, because generated prose arrives already sounding authoritative. Fluent writing feels checked even when nothing has been checked.

Working in a grounded mode against a curated library helps, because the answer is drawn from papers you can open. But the check is still yours to make. Open the source. Read the passage. Confirm that it says what the assistant reports it says, and confirm the nuance survived. Assistants are good at extracting a finding and less good at carrying the hedging that came with it. A study that found an effect "in a small sample of male participants under laboratory conditions" can arrive back as a study that "found an effect", and that gap is the sort of thing a reviewer notices.

Claim Verification makes this loop short enough that you will actually do it. That is the point.

Keep Your Own Voice in the Document

Assistants have a house style. It is smooth, slightly over qualified, fond of tricolons, and instantly recognisable once you have read a few hundred pages of it. If you accept generated text unedited, your paper will read as though it was written by a committee that has never met you.

The fix is not to avoid the assistant. It is to treat its output as raw material rather than finished prose. Take the structure and rewrite the sentences. Take the summary and put the emphasis where your argument needs it. Cut the qualifiers that are protecting the model rather than serving your reader.

The Paraphraser is useful here precisely because it is explicit about register. It offers Academic, Formal, Technical, Simple, Short, Expand and Creative modes, with a synonym slider controlling how aggressive the rewrite is, and it shows every proposed change so you accept or reject them one at a time. Rewriting a generated paragraph into your own register with the changes visible is a very different act from pasting it in whole.

Check the Output the Way You Would Check a Colleague

If a co-author handed you three paragraphs, you would not simply drop them into the manuscript. You would read for accuracy, check the citations, and see whether the argument still holds where it now sits. Give generated text the same treatment.

A practical sequence that works well: generate, then read the whole section aloud, then verify each citation against the source, then run the Grammar panel for structural problems such as sticky sentences and long sentences, then run Similarity before you submit. That last step is not an accusation. It is the same check the journal will run, and it is far better to see the result while you can still do something about it.

Note what the Grammar panel actually reports. Alongside the usual corrections it shows a readability grade, a count of long sentences, how many sections carry citations, and where your prose has become sticky. Those are structural signals about the draft, not spelling nags, and generated text has characteristic weaknesses in exactly those places.

Where the Assistant Belongs in Your Workflow

The researchers who get the most out of an AI assistant tend to use it at the edges of writing rather than in the middle of it.

At the start, for orientation: summarising a folder of your library, outlining a structure, explaining an unfamiliar method well enough that you know what to read next. In the middle, for friction: finding which of your sources supports a half remembered claim, rephrasing a sentence that will not come out right, checking whether a paragraph actually says what you meant. At the end, for checking: verifying claims, tightening structure, catching the long sentence you stopped seeing three drafts ago.

What it should not do is produce the argument. The argument is the part that is yours, and it is the only part a reader genuinely wants from you. An assistant that saves you six hours on formatting, source hunting and rephrasing gives you six more hours to spend on the thinking. That is the trade worth making.

A Short Word on Disclosure

Policies vary by institution and by journal, and they are changing quickly. Some publishers require a statement describing any AI use, some restrict it to language editing, and some say nothing yet. Check your target journal's author guidelines before you submit rather than after, and check your institution's policy separately, because the two often differ.

The safe position is straightforward. Never list an AI tool as an author. Be prepared to say what you used it for. Make sure every claim in the paper is one you have personally verified against a source. If you can do those three things, disclosure is a paragraph rather than a problem.

An AI assistant is not a shortcut past the work of writing a paper. Used carelessly it will hand you fluent text with weak foundations, and the weakness will surface at exactly the wrong moment. Used well it removes the parts of academic writing that were never the interesting bit: hunting for the source you know you read, rephrasing a stubborn sentence for the fifth time, checking that a section still holds together after three rounds of edits.

Curate what it can see. Choose the mode that matches the question. Ground every claim in a source you have opened yourself. Rewrite the output into your own voice. Do those four things and the assistant becomes what it should have been all along, which is a fast, tireless research assistant that never gets bored of checking things.
